Shared accounts

Shared accounts are mailboxes used by multiple users to read and send E-Mail messages. Shared accounts allow a designated group of people to read, manage, and send emails using a public email alias such as “info@example.com.” To access a shared account, users must first be granted permissions for the shared account. Shared accounts can also be used to set up a shared calendar.

How to read and edit E-Mail messages in shared accounts:

  1. Shared accounts are automatically integrated.

  2. In the folder tree below Shared accounts, open the wanted inbox.

  3. Depending on the permissions that have been granted to you, you can do the following:

    • As viewer, you can read all E-Mail messages. You can mark E-Mail messages as read, copy or print E-Mail messages.

    • If you are an editor, you can also highlight an E-Mail in your inbox with a color.

    • If you are the author, you can also create subfolders, delete E-Mail messages, archive them, move a single E-Mail, or move all E-Mail messages in the inbox.

How to send new E-Mail messages in shared mailboxes:

  1. Select the wanted inbox in the folder tree.

  2. Depending on the permissions that have been granted to you, you can do the following:

    • With the default “Send as” setting, your email will be sent using the mailbox's alias as the sender.

    • If you want to send the email on your behalf, select “On behalf of.” In the email composition window, a notification appears indicating that the email is being sent by you on behalf of the alias (e.g., support). The recipient will see “Alias via Your Name” as the sender.

How to Reply to E-Mail messages in shared mailboxes:

  1. Select the wanted inbox in the folder tree.

  2. Depending on the permissions that have been granted to you, you can do the following:

    • With the default “Send as” setting, your email will be sent using the mailbox's alias as the sender.

    • If you want to send the email on your behalf, select “On behalf of.” In the email composition window, a notification appears indicating that the email is being sent by you on behalf of the alias (e.g., support). The recipient will see “Alias via Your Name” as the sender.

    • If you do not have either the “Send as” or “Send on behalf of” permission, the email reply will be sent in your own name. The email you send will be saved in your own “Sent” folder.
